Activity/Facility Scheduling : General setup : Pod schedules : Using the schedule : Set limits for a pod

Set limits for a pod

A Pod limit is how many people can be booked into a resource for a specified time period. The Pod Schedule is the area where booking bars can be created using a drag-and-drop method to schedule pod events. This schedule is for setting up pod events and limits. Each time that you book something into the schedule, a booking bar is inserted into that time slot to represent that pod event.

To set a limit for a particular Pod for a particular time period:
1. Position the cursor at the beginning time for the booking. Hold down the left button of the mouse and drag the mouse to the end-time for the booking and let go.
2. The What limit would you like to place on this Pod? dialog is displayed.
3. Enter how many guests can be booked into this pod during the scheduled time in the Limit field.

Note: The default limit is 10 (of whatever you are booking: ten people, ten groups – however you defined your products), which denotes that only ten of these bookings can be scheduled in the defined time range for the date shown.

4. Enter a Descrip of the booking.
5. Enter a Yellow E-Mail notification address. Pods turn yellow when they are 80% booked (or one slot is left, whichever occurs first). When this state occurs, an e-mail can be sent to notify someone.

Note: By default, the system notifies the e-mail address entered in Set up generic pod preferences. Entries here override the default entry.

6. Enter a Red E-Mail notification address. Pods turn red when they are 100% booked. When this state occurs, an e-mail can be sent to notify someone.

Note: By default, the system notifies the e-mail address entered in Set up generic pod preferences. Entries here override the default entry.

7. Click the Done button and the booking bar is displayed on the Pod Schedule with the Limit, the number booked and the description of the event.

Note: The color of the text in the bookings is relevant: the text color relates to the location of the booking and the background color denotes the lesson type of the booking.
