Instructor rotation groups
 
The Group tab is provided to group your Instructors into priority groups for private booking assignments to make things equitable for your Instructors. You can have any number of priority groups or none at all. You want to take your most qualified Instructors and put them together in a group and give them the highest number.
 
Example:
If you had fifteen Instructors of three different levels based on seniority, you might want to define three groups of five Instructors each. Priority group 1 would rotate in the top five spots (Instructors who most often get the best bookings), Priority group 2 (the next most deserving Instructors) would rotate in the second, five spots and Priority group 3 (the least deserving) would rotate in the third, five spots. You can define how often you want rotation to happen and you can define the start date when the rotation begins (go to SysManager > Preferences > Private Bookings > General tab). During rotation, the Instructor on the bottom moves to the top and the rest of the Instructors in each group move down a position. Rotation happens automatically based on your definition.
 
Note: Without preferences coming into play, if all Instructors in group 1 were eligible for the booking you were booking, the Instructors would rotate from day to date through the top five positions, the Instructors in group 2 would rotate in the second five positions and so on.
 
However, Instructor attributes and guest preferences come into play here. The only time you ever see any rotation is if the Instructors listed in the schedule are in the same rotation group and one Instructor is not more suited for a booking than another. If you were to put a preference of female Instructors and there was one female Instructor in each of the groups, you wouldn’t see the Instructors rotate. This is an example of how rotation can be defeated by preferences.
 
To set up the priority group for an instructor:
1. From the Group tab, assign this Instructor a Priority Group number.
 
Note: This number assigns this Instructor to a Priority Group. Instructors in lower-numbered Priority Groups have priority over Instructors in higher numbered Priority Groups.
 
2. Assign this Instructor a Priority Within Group.
 
Note: This is the Instructor priority within the assigned Priority Group. Lower numbers have higher priority over higher numbers. This list rotates automatically during booking.
 
3. Assign this Instructor a Priority Within Group.
 
Note: How often the Instructors rotate within their priority group and what day the rotation starts are displayed here if they have been set through the SysManager > Preferences > Private Bookings > General tab.
 
Note: The Instructors within the current assigned Priority Group are listed in the scroll box at the right, in order of priority. If you make changes to this Instructor’s priority, the changes are reflected in this list.
 
4. You can further group Instructors using the User Defined Group field.
 
Note: For example, Instructors who work for a particular supervisor can be grouped or filtered in the schedule by entering the supervisor’s name in this field, and then filtering the schedule.
